Privacy notice: Agent Minder™

This notice explains what happens to your details when you join the Agent Minder waiting list, and what happens if we write to your organisation.

Who we are

The waiting list is run by Toby Graham, a sole trader trading as Agent Minder. We are registered with the Information Commissioner's Office (ICO): registration number ZC268568.

Email: hello@agentminder.co.uk
Postal address: 11 Hippodrome Mews, London W11 4NN

What we keep

  • Your email address. We keep it encrypted.
  • Your answers: that you want an email when Agent Minder is ready (that is what joining means), whether you'd like to help test it, and that you are 18 or over.
  • When you agreed, and the exact words you agreed to.
  • When you confirmed your address.
  • When we last emailed you.
  • Whether this is a re-join after you removed yourself before, and whether a confirmation email is still waiting to go.
  • Where you came from, as a short tag such as "reddit", if the link you followed carried one.
  • If you came with someone's invitation link: its code.

We do not ask for your name, and we do not keep your IP address with your details.

Why we keep it

To email you when Agent Minder is ready and, if you ticked that box, to ask you to help test it before launch. We also send one email to check that the address is yours; its link works for 7 days from when that email was sent. If you have not confirmed after 3 days, we send one reminder with a fresh link, and nothing else.

Our lawful basis is your consent. You can withdraw it at any time, using the remove link in any email we send or by writing to hello@agentminder.co.uk.

Who helps us, and where

  • Vercel, Inc.: runs the website. United States.
  • Railway: runs the server that receives the form. The Netherlands.
  • Neon: the database. London.
  • Resend: sends our emails. Sends from Ireland; account data, logs and copies held in the United States.
  • Zoho Mail: our email service. It receives and sends our emails, including hello@agentminder.co.uk. Its data centre is in the United Kingdom.

Railway and Neon are US companies. Their staff may access the data from outside the UK, under their terms.

When your details leave the UK

  • For the Netherlands, the UK's adequacy regulations for the European Economic Area (EEA) apply.
  • For Vercel: the UK International Data Transfer Agreement or the UK Addendum (as Vercel's terms provide).
  • For Railway: the UK extension to the EU-US Data Privacy Framework, or the EU standard contractual clauses with the UK Addendum.
  • For Neon: the EU standard contractual clauses with the UK Addendum.
  • For Resend: the UK Addendum to the EU standard contractual clauses, in Resend's data processing terms. Resend also says it takes part in the EU-US Data Privacy Framework with its UK Extension.
  • For Zoho: your emails are stored in Zoho's UK data centre. Zoho's group companies, some of them outside the UK, may handle them to run the service, under a group agreement that Zoho says is based on the EU standard contractual clauses. We contract with Zoho Corporation Limited, a UK company, under Zoho's terms of service, and have asked Zoho to sign its data processing addendum; we will name the UK safeguard it gives here once it is signed.

Cookies and tracking

The website sets no cookies and uses no advertising trackers.

To stop abuse of the form, the server makes short-lived scrambled codes from your connection and counts joins against them. They are kept for a day at most and never contain your IP address.

How long we keep it

  • If you do not confirm your address: 7 days after the last confirmation email or reminder we sent you, and never more than 14 days from when you first joined; then we delete it. Joining again does not restart that time.
  • If you confirm: until you leave, until 30 days after we send the email saying Agent Minder is ready, or for 12 months at most, whichever comes first.
  • If you are a founding member: a separate founding record, for as long as the “Founding members” section below says.

If you remove yourself

We delete your details and keep only a scrambled code of your address, made with a secret key, so that we won't email you again unless you join again, with the date we last sent a confirmation to a re-join, so that nobody can make us email you more than once in 30 days by entering your address again. If you ask us to, we mark that code as blocked, so your address is never emailed or stored again. Our lawful basis for keeping that code is our legitimate interests: making sure your choice is respected. We keep it until you ask us to forget it entirely; write to hello@agentminder.co.uk to do that.

If you join again, we send one email to check that it is you. Only when you confirm do we take the code off our list.

If you are a founding member, leaving keeps your founding record unless you also choose “Remove my founding place too” (see “Founding members” below).

Founding members

If you confirm your email before Agent Minder's public launch, you are a founding member (see the founding member terms). To keep your place, we keep a separate founding record: a scrambled code made from your address with a secret key (not the address itself), the date you confirmed, your own invitation code (a random code) and how many people have counted for you. Our lawful basis is that we need this record to give you what the terms promise (a contract with you).

We keep it until you open your Agent Minder account, when it moves into your account; or until 30 days after the public launch date; or, if Agent Minder has not launched by then, for 24 months from when you confirmed; whichever comes first. Leaving the waiting list stops our emails but keeps this record, so you can still claim. To remove it too, choose that on the page you see when you leave, or write to hello@agentminder.co.uk.

If you join with someone's invitation link, we keep its code with your entry, so that their count can go up if you later use Agent Minder. Our lawful basis is our legitimate interests: running the founding offer fairly for the person who gave you the link. You can join without the link, or ask us to delete your entry. It goes when your entry goes, or sooner if that person's founding record is deleted. We tell that person only how many people have counted, never your name or address. If they gave their link to very few people, they may be able to work it out.

If we write to your organisation

When we email a press desk or a business at an address published on its own website, we keep that address only to send one email and to honour a refusal. Our lawful basis is our legitimate interests (telling the press and platforms about Agent Minder). You can object at any time by replying "no thanks" or writing to hello@agentminder.co.uk; after that we keep only the organisation's name and web domain on our do-not-contact list, so that we do not write again.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it or delete it, withdraw your consent, or object (for example, to our use of an invitation code). Write to hello@agentminder.co.uk. We answer within one month.

How to complain

Please tell us first, at hello@agentminder.co.uk. We acknowledge complaints within 30 days.

You can also complain to the Information Commissioner's Office: ico.org.uk, or call 0303 123 1113.

If Agent Minder becomes a company

If Agent Minder becomes a limited company, the waiting list moves to that company. We will email you first, so that you can leave if you wish.
